Responsibilities: Provide administrative support to Project Managers, Project Engineers, and the CEOManage scheduling, calendar coordination, and travel arrangements for leadershipAssist with document preparation, presentations, reports, and bid-related paperworkEnsure all completed bids meet customer contract requirementsLead bid solicitation, including ordering prints and following up with subcontractorsTrack bids, update bid lists, maintain the subcontractor database, and ensure accurate data entry in SageEvaluate subcontractor proposals to ensure compliance with contract documentsPrepare, review, and distribute subcontractor bidsCreate and maintain bid binders for active and archived projectsOversee project closeout, ensuring all bid and contract paperwork is properly filedMaintain professional relationships with subcontractorsObtain, track, and manage subcontractor licenses, DIR numbers, W-9s, and tax documentsHandle email management, correspondence, and follow-ups for the executive teamAssist with expense tracking, invoicing, and basic bookkeeping tasksOrganize and maintain digital and physical filesResearch and coordinate vendor services and office suppliesPerform additional office support tasks such as filing, scanning, and phone coverageOther duties within the scope of the position may be requested from time to time Qualifications: Minimum of 2 years of experience in administrative, coordination, or bid-related rolesConstruction industry experience highly preferredExcellent verbal and written communication skills in business English. All interviews will be conducted in English!Proficient in Microsoft Office (Excel, Word, Outlook) and other administrative toolsHighly organized, self-motivated, and analyticalStrong interpersonal and communication skills (both verbal and written)Ability to interact confidently with executive-level clients (internal & external)Team player with a positive attitudeAbility to prioritize tasks and manage multiple deadlinesDue to the nature of the position, some hours out of the standard work week may be required.
